Position Description

The Operations Administrator (OA) works with the Director of Operations and the Director of the University Press, and takes independent responsibility for a number of administrative tasks, editorial duties, and financial responsibilities.

The OA prepares weekly cash reports and makes deposits to the Press account; prepares annual royalty reports and arranges payments to all authors, and is responsible for the planning and logistics of Press exhibits for all the academic conferences we attend. The OA is responsible for the oversight of our major literary prize competitions and annual poetry submissions, which together involve accurately tracking and managing thousands of manuscripts, interacting with authors, and working closely with prominent prize judges. The OA is responsible for officially registering the copyright of every book we publish with the Library Of Congress.

The OA acts as the Press office manager, ensuring office equipment and supplies are available and in working order, and maintains the Press database system through which our entire workflow is processed. The OA also supervises our student internship program and the work of the interns. Finally, the OA works with the Press Director and the Director of Operations on a variety of editorial and administrative tasks and is a key liaison with other University departments such as the Office of the Provost, Purchasing, Payment Processing, Facilities Management, etc.

Financial training or experience; mastery of standard MS Office software; organizational skills.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
