Position Description

The Assistant to the Chair is primarily responsible for providing professional administrative support to the departmental Chair and faculty. This includes assisting with things such as:
- faculty recruitment, retention, and tenure and promotion cases
- maintaining faculty records
- organizing faculty meetings and faculty votes
- drafting correspondence for the Chair and maintaining the Chair’s calendar

The position is also responsible for:
- hiring, training, and managing student workers
- maintaining course descriptions and advising lists and assisting with final exams
- assisting with departmental room management, key distribution, and the reporting of minor facilities-related issues
- updating the departmental website
- assisting with travel and event coordination as necessary
- serving as a departmental shopper for office supplies

The incumbent must have expert verbal and written communication skills, interpersonal skills, and relationship-building skills. They must have strong analytical skills and be able to interpret and adhere to established policies and procedures. In addition, the incumbent must be able to maintain a stringent level of confidentiality, adhere to strict deadlines, and have the ability to work both independently and as a part of a team.

Additional Education and/or Experience Essential to the Position

2-3 years of relevant experience in lieu of education may be acceptable. The successful candidate must have excellent communication skills (both oral and written), organizational skills, and be both comfortable with and proficient in the use of computers (i.e., Microsoft Office software, e-mail, electronic calendars, web content management programs). Familiarity with the University’s PRISM, PittSource, and PeopleSoft systems would be extremely beneficial.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
