Position Description

The School of Medicine Department of Immunology is seeking a qualified candidate for the Post Award Administrator position.

Assuring compliance with federal and non-federal sponsor requirements, the candidate must set-up, reconcile and monitor departmental grants and research start-up accounts to the University general ledger, on a monthly basis, for accuracy and allowability, using an established software program. Sponsored research funding alone totals $11 million.

Responsibilities will also include;
-Negotiating payment terms for specific corporate agreements
-Initiating accounting corrections, if needed, and actively monitor grant accounts to avoid overdrafts or unnecessary unspent balances
-Proactively communicating monthly, to research faculty grant/start-up expenditure reports, as well as the creation or modification of salary effort
-Ascertain appropriate cost-sharing principles
-Enforcing certification rules and regulations; ensure faculty meets required certification deadlines
-Updating the department chair’s post-award statistics (currently totaling over $3.5 million) using a multiplex spreadsheet system
-Ensuring proper close-out of grant accounts at a specified time when grants expire, which occur throughout the year
-Annual maintenance/service contracts for department equipment and established asset management database
-Oversight of T32 training grant
-Processing appointments and terminations through the NIH X-Train system
-Preparing detailed training grant tables for submission of new training grant proposals
-Downloading monthly invoices affecting grants from the DLAR CAMS system
-Assisting Grants Manager with pre-award when necessary.

Will operate with autonomy in accordance with established policies and procedures, and make independent analyses. Occasionally will need to make purchases for the research labs in absence of the departmental buyer. Knowledge of policies and procedures both university and external, i.e., federal grant policies, highly desired. Makes recommendations in regard to improvement of departmental procedures. Excel experience required; Microsoft Word helpful. PRISM; Panther Express experience, a plus.

Must have previous fund accounting experience. Ability to proactively communicate orally and in writing any changes additions and/or problems with grants. University experience required. Knowledge of Excel, Word and IBM/PC.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
