Position Description

The University of Pittsburgh is seeking an Administrative Assistant. This position is responsible for performing a broad variety of confidential administrative tasks in the Department of Neurobiology.

The position will assist faculty and staff with administrative tasks, schedule Departmental Seminar series, and gather faculty data for the annual OMED Faculty Educational Credit Reports. The incumbent will act as an administrative coordinator for the Departmental Postdoctoral Training Grant.

The incumbent will also serve as Departmental Purchaser, using PRISM, P-Card, or internet procurement, as appropriate, and will assist with arranging departmental renovations. This position maintains the Neurobiology Department’s key inventory and processes the approved key requests. He/she will be responsible for renewing (and initiating, when necessary) departmental equipment maintenance contracts. This position will act as the Department receptionist, greeting visitors and directing them to the appropriate office.

This position acts as Medical Curriculum Coordinator, providing overall administrative assistance to faculty medical school course directors in the Department and managing all non-teaching related matters. The position also requires a demonstrated ability to balance self-motivation and working in a team environment.

At least two years of office/clerical experience. Expertise with Mac and PC computer formats, word processing (Word), database and spreadsheet(Excel) packages.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
