Position Description

The University of Pittsburgh, School of Health & Rehabilitation Sciences is seeking a qualified Administrative Assistant.

The Administrative Assistant position responsibilities include managing all administrative duties for the Emergency Medicine Program, recommending policy and procedure changes, providing direct assistance to the Program Director, assisting all department faculty as necessary, maintaining all class and student records, monitoring all class schedule updates and changes, monitoring graduation certification for all seniors, communicating with the Dean’s office on a regular basis, assisting faculty members with student advisement, supporting all faculty and adjunct faculty in classroom operations, preparing and occasionally processing all enrollment and admissions paperwork, compiling all minutes for weekly faculty meetings, acting as the main point of contact for active, potential, and past students as well as anyone seeking information about the program, collaborating with faculty and editing print media, Program literature and correspondence, hiring and managing federal work study students, overseeing development and maintenance of the Program’s webpage and Annual Report as well as all marketing for the Program, planning program events, managing faculty travel, and coordinating with OIS. Some travel may be required.

Bachelor’s degree preferred with 1 to 2 year’s experience or an Associate degree with at least 3 year’s of relevant administrative experience.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
