Position Description

The University of Pittsburgh’s Immunology Division in the Department of Medicine is seeking an Associate to the Department Administrator. This position acts as the administrator of HR and Payroll matters, which includes all staff, post-doc hiring, faculty, and secondary faculty appointments as well as foreign national visas. The incumbent will provide oversight of the three Department Cores and will be responsible for the development, preparation, and the updating of Core accounting cost models and business plans.

The Associate will also be responsible for managing the monthly postings of departmental Core recharge centers billings. The incumbent will develop job descriptions, serve as the main point of contact with the Dean’s office administration and Human Resources, and will be responsible for supervising front desk staff members. The Associate will assist grants manager/faculty as necessary with grant and training grant applications and will provide financial and administrative backing to both faculty and the Executive Administrator.

Bachelor’s degree required. Advanced experience in progressive administrative roles with supervisory responsibilities required. Equivalent relevant experience may be substituted for degree requirement. Prior experience functioning in an administrator role at the University preferred.
