Position Description

The University of Pittsburgh’s Health Promotion & Development Division in the Nursing Department is seeking an Administrative Secretary. This position will provide secretarial assistance to the Chair as well as the large academic department which includes the reception to the office, screening calls and visitors, scheduling classrooms, conference rooms, meetings, appointments, travel arrangements, department webpage maintenance, etc. Along with that, the incumbent will assist with the execution of general office functions.

The incumbent will be responsible for collecting, copying, etc. of course materials for distance education courses. He/she inventories and purchases department supplies and processes payments (e.g., disbursements, travel/business). This position maintains equipment functions, i.e., fax/copier, which is available to the entire school as well as maintains the confidentiality of all student and faculty information. Lastly, the incumbent will assist faculty with grant proposals.

Other related tasks or projects will be as requested.

The incumbent should have three years of secretarial experience, which includes working experience with word processing software. High school graduate, business school, or other formal secondary education preferred. Must be skilled in the use of general computer software (e.g., word processing, excel, power point, databases).

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
