Position Description

The University of Pittsburgh’s Office of the Provost is seeking a qualified Office Manager. This position will be responsible for the management of business functions of the department under the direction of the Senior Director of Administration.

The incumbent will work closely with the Business Manager to manage the day-to-day operations of the Office of the Provost and assist in the implementation of policies and procedures which affect the budget, Human Resources, and Facilities. Primary responsibilities will include acting as the Office of the Provost’s primary purchasing agent with the ability to approve, review, and monitor all purchases. The incumbent will be responsible for the reconciliation of all Provosts’ accounts and will research and resolves all discrepancies. He/she will manage the central payroll functions for the Office of the Provost, including initiating all personnel documents.

The incumbent will assist the Business Manager in Pittsource actions, coordinate routine facilities issues for the Provost’s Office, and assist the Senior Director of Administration in Facilities-related assignments including move management, database management, and coordination of project efforts. The incumbent must possess excellent communications skills, institutional agility, and the ability to multi-task in a fast-paced environment.

University-experience highly preferred. The incumbent must have outstanding communication skills and the ability to interact effectively with staff, students, University administrators, and the community. He/she should be highly skilled with all of Microsoft Office Suite.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
