Position Description

The University of Pittsburgh is seeking an Activities, Events and Partnerships Coordinator (AEPC). This position is a one-year position which will have three primary responsibilities. First, s/he will be responsible for working with Center staff to plan and coordinate the events of the European Studies Center (ESC). These events include, but are not limited to Center lectures, video conferences, workshops, a festival, student and teacher trips, and research and policy conferences. Many of these events are co-sponsored with other Centers and Programs affiliated with the University Center for International Studies (UCIS). Second, s/he will assist Center staff with Center-run activities, such as grant and fellowship competitions for faculty, students, and external constituents (including Summer Scholars Program and Brussels Study Tour). Third, the s/he will work with the Director and related Center staff to facilitate partnerships and programs with research collaborators, local community-based constituencies and partners, and Center alumni by maintaining and updating the Center’s database and contributing to strategic communications. Related to this will be assisting in the development and maintenance of an External Advisory Council and a Young Professionals’ Council, which will support the work and mission of the Center.
The AEPC will have primary responsibility for planning and ensure the smooth execution of Center-run conferences, festivals, and VIP visits from distinguished European studies scholars or European dignitaries. This will involve close collaboration with other University units and partners. S/he will monitor budgets, and process bills and reimbursements in accordance with University, Federal, and European Commission guidelines.

The AEPC will work in collaboration with the Director and other staff in creating a consistent public image and message for the Center. S/he must work independently and as a member of a team and will delegate tasks to and supervise student assistants (GSA) with other staff. Some weekends and evenings required (on average once or twice per month). This is a one-year position. Bachelor’s degree required graduate work and two years of professional experience preferred.

Additional Education and/or Experience Essential to the Position

Bachelor’s degree required. Knowledge of European and EU affairs and graduate work preferred, as is 2-3 years of event planning experience. Excellent writing skills and attention to details are critical. Effective and timely communication is a requirement. Ability to work in a complex fast-paced environment a must. Computer and software literacy a must. Database (Microsoft Access) and Web experience desirable. Ability to work independently, yet collaboratively and in a team a must. Public speaking skills desirable.
