Position Description

The Department of Critical Care Medicine at the University of Pittsburgh is seeking an Administrative Coordinator to provide high-level administrative support to a diverse, growing research center in the School of Medicine. The position’s primary responsibility is to coordinate the center’s research fellowship training program, including writing and publicizing recruitment materials, overseeing trainee recruitment, managing training resources, and ensuring compliance with University regulations through appropriate tracking and documentation of current and past trainee performance.

Additional duties include tracking the academic output of the research center including publications, abstracts, and conference presentations; assisting in preparing academic reports and web content; facilitating communication between the research center and other Department and University Entities; supporting the research and educational activities of the research center, and managing administrative support for selected senior research center faculty.

The incumbent should be able to operate with a high degree of autonomy and discretion, and must work independently to proactively solve problems. Excellent organizational skills, communication skills, and computer skills are required, including proficiency in Microsoft Word, Excel, Power Point, and Publisher.

3-5 years of experience in office environment with diverse and multi-demand work requirements from multiple sources.

Excellent analytical, writing, and organizational skills are essential. Experience tracking research metrics, particularly coordinating a training grant, is strongly preferred and can be substituted for education. Ability to work independently is critical.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
