Position Description

The University of Pittsburgh’s department of Med-Pediatrics is seeking a qualified candidate for the position of Administrative Assistant. This position is located at Children’s Hospital of Pittsburgh of UPMC in Lawrenceville. The Administrative Assistant performs a wide-range of administrative and secretarial functions designed to facilitate and expedite the accomplishments of the director and the Institute. This person is responsible for maintaining faculty calendars and travel arrangements for the Director, and Mellon Scholars. The incumbent will also be involved in the recruitment of new faculty members. This includes scheduling of itineraries, making travel arrangements, and escorting recruits. The Administrative Assistant is a key contact for recruits and as such, is essential that he/she is professional and represents the Institute in a positive manner at all times. Professional demeanor and ability to prioritize multiple tasks are essential. Assists in implementing special projects as assigned.

May occasionally need to shift hours to accommodate recruitment visits. Any extra time worked would be given as comp time later in the same week. May on occasion need to stay a bit late to accommodate a recruitment visit.

An Associate degree or business degree required and two years relevant administrative experience.

TB test and PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check will be required as a condition of employment.

An Associate degree or business degree required. Experience with general office software including Microsoft Word, Outlook. Experience managing multiple calendars in Outlook would be beneficial.
