Position Description

The University of Pittsburgh’s Department of Nurs-Office of the Dean is seeking an Administrative Assistant. Serves as Administrative Assistant to the Associate Dean and Executive Assistant to the Dean. Manages and triage the numerous requests in an extremely busy administrative office. Assists Associate Dean with day-to-day activities. Incorporates project deadlines and due dates into the schedule to assure complete and timely accomplishment. Analyzes information and research from numerous sources to design and draft complex reports as requested. Assists the Associate Dean in researching issues relative to student issues/problems. Independently drafts complex student letters for signature. Triage issues presented for the Associate Dean’s response. Incumbent responsible to identify priorities, assure attention is conducted in a timely fashion, suggest solutions when appropriate and maintain confidentiality. Serve as liaison with faculty on critical matters related to academic issues, clinical placement, student crises, etc. Oversee and coordinate the process to assure compliance in Academic Integrity issues, including student grade appeals, student and/or faculty academic integrity concerns, and student unsafe clinical practice accusations. Complete understanding and ability to interpret and track University/School policies and procedures. Monitor faculty Council activities to assure proper follow-through with required University policies/procedures and proper notification to State Board of Nursing; tracking of courses offered in academic programs and curricular changes as they affect those courses. Initiate agendas in collaboration with the Council Chairpersons, record and distribute minutes in a timely manner. Maintain official minutes/files, and assure that Council Chairpersons receive information regarding follow-up of action items. Produce complex reports for administrators on State Board of Nursing information. Serve as the liaison (representing the Dean, Associate Deans, and Assistant Dean) between the State Board of Nursing and the School of Nursing on relevant matters that impact the professional program approval status.

Minimum Related Experience Level Required 1-2 years experience
Additional Education and/or Experience Essential to the Position

Bachelors Degree with experience in an office setting. Excellent communication and writing skills. Excellent computer skills and an ability to comprehend new software.
