Position Description

The Administrative Coordinator will provide executive level administrative coordination to the Division Chief of Geriatric Medicine and the Division Administrator and Administrative Director who preside over the Divisions of Geriatric Medicine, Infectious Diseases, and Endocrinology. This will include assignment of work related to research, clinical programs and academic administration.

Responsibilities will include: 1) preparing presentations and reports about the Geriatrics Division in regards to its clinical, research and academic missions; 2) providing all necessary administrative support of the Division Chief’s research program; 3) coordinating all aspects of the Chief’s schedule and travel; 4) initiating, composing and proofreading correspondence from the Division Chief’s office; 5) oversight of workflow of 3 administrative personnel 6) oversight of spending on 4 pilot projects awarded under the Division P30 grant totaling $75-$100 K annually, 7) coordinating special projects for the Division Chief’s office; 8) administrative support for the Division Administrator and Administrative Director, both of whom oversee three Divisions.

Additional Education and/or Experience Essential to the Position

Two to three years of progressive administrative experience required. Experience in an academic setting required. Prior Pitt or UPMC experience preferred. Prior experience as the administrative support to a director, chief, chair or dean desired. Additional experience may be substituted for the Bachelor’s degree.
