Position Description

Since 1896 the School of Dental Medicine has been educating students to take their places among the best dental practitioners in our region and across the country. The incumbent will be responsible for scheduling a large volume of endodontic appointments for post-doctoral referral patients from outside dental practices, as well as resident and pre-doctoral endodontic appointments for SDM emergency and comprehensive care patients. As required, the incumbent will coordinate scheduling of patients for endodontic treatment with the Anesthesia Department and Special Needs Center and will complete all required Anesthesia forms. Additional duties include entering patient demographic and insurance information, taking patient photographs and scanning insurance and ID cards at intake and updating information as needed. Similar support will be provided for the residents in AEGD. This position is responsible for meeting with Endodontic and AEGD Residents, students and patients in order to adopt a payment arrangement for their approved dental treatment plan; evaluating the treatment plan for coding and signature requirements; instructing the patient, with the resident or student, as to which procedures require down payment or preauthorization and advising whether or not the patient may qualify for a discount; posting and balancing individual patient credit card or check payment transactions; preparing bank deposits and reports, and daily input of deposit information into Prism; entering all preauthorizations into the data system; documenting all relevant information into the data base; notifying the student or resident of the preauthorization request; verifying patient insurance eligibility, when needed, authorizing the student or resident to treat the patient based upon internal policies and handling patient inquiries relative to billing questions. Answering student and resident questions relating to SDM policies and procedures and any duties as assigned by the Supervisor. Incumbent must be flexible with work hours as changes occur within the daily and after hours clinic schedules. Ensure that the Endodontic resident’s clinic schedule is booked and confirmed. Act as a liaison between patients, residents and referring dentists. Ensure the residents are efficient and productive while performing the above tasks. The incumbent must be thoroughly familiar with and abide by all HIPAA guidelines at the School of Dental Medicine. A background in the dental field and knowledge of dental insurance is highly desired.

Minimum Related Experience Level Required 3-5 years experience
Additional Education and/or Experience Essential to the Position

Minimum of 3-5 years as a dental office manager. Must be professional, courteous and detail oriented while maintaining patient confidentiality. Must be meticulous with scheduling, and financial counseling.
Analytical, outstanding organizational and accounting skills are required.

The following PA Act 153 clearances and background checks may be required prior to commencement of employment and as a condition of continued employment: PA State Police Criminal Record Check, FBI Criminal Record Check, PA Child Abuse History Clearance.
